You now have the option to get a checklist that makes the migration process easier for you, you just need to scroll down the left side menu until you get to the billing tab and then click on the migration checklist from the drop-down menu list, a screen will appear with all the steps to guide you through the process, showing you the different stages, from the previous steps to the migration itself, there you can also have your data programmed.

Remember, to configure your migration to schedule in advance.

Once you set up your Migration Schedule, it will be your migration checklist upper side.

The dates to get actual customer billing information from your current payment processor in Fit Pro Tracker will be Wednesday through Friday of your migration week.

  1. Go billing

  2. Click on Migration Checklist.

  3. it will show you a list of the steps so you need to click on each of them to have your migration done.

  4. Let's Start on the previous migration steps

    1. Apply for your merchant application:

      When you click on this tab you are going to get a form or a link, in which to include your billing information.

      When you are submitting your application, it will send the information you have filled out to Zift for them to get approved and that will take around 24 hours to process for errors by this payment processor the system uses, in case they send you back errors in your application you would need to fix them and submit it again.

      Once it is completed and approved you can go ahead with Scheduling your migration week.

    2. Schedule your migration week

      Whether you are from the franchise or not, you need to complete this step to have booked when your migration will start, you need to either contact us to set your migration dates or send them an email to the provided address.

      Therefore, you will ensure a smooth transition onto our billing platform by following the prompt timeline the system has created, which not only includes your starting dates but also populates the upcoming dates for you to complete the below steps. Since It intends to allow you to get ready in advance, it will guide you to accomplish each step on time.

    3. Set up your point of sale (POS).

      You need this important framework to manage your products and product inventory, It is really useful when you start charging them through the billing system for the merchandise you might be selling out on your facility, such as shirts, supplements, towels, etc and It allows you to have them organized into categories.

    4. Set up your sessions schedule.

      Set up the sessions that you offer at your facility is important to include them into the system, you will need to ask us to turn on booking and enable your kiosk, once you have it done you can go ahead and start creating the sessions that you would like your clients to be booking.

      They are going to be available on your Kiosk View, so just by a click on their names, you can have your contacts signed into the classes.

      Since you will need to invite them to the iLiv.fit customer portal in order to book a session, the next step is to review this.

    5. Send your Client App invitations

      Once you have created your session schedule, you need to send your Client App invitations to your clients, that is, you just need to go to the menu on the left side, so you can send the invitations to your members, tests, or prospects. Doing this before your migration week will familiarize you with and access this system in advance, helping you easily start booking when you have already migrated to FPT.

      Once there, you can send them the invitations and they will be shown as sent in each of your client's profiles.

    6. Create your memberships and trials to use in Fit Pro Tracker.

      you need to create the different memberships on the system so it would know where to upload the client information while mapping their data, since our billing system can not handle bi-weekly memberships something you can do is get their clients into weekly or monthly memberships instead.

      Actually, you are able to have the memberships into different categories, which lets you have them arranged in a nicely compelling.

Also, if the clients have more than one membership it is important to bring their information through the main membership, which would be the one you choose then you are going to add them manually to their other ones.

5. Before you get prepared

a. Upload your current paying member

This is an important step since you are bringing a list of your current paying members from your existing payment processor to our system, we will be receiving your exit file data in the upcoming days and will need this list updated first before we can proceed.

Please take into account when downloading your file from your current payment processor:

  • Make sure to have any clients either on the trial or memberships you want to ensure are set up.

  • Please follow the instructions exactly when creating your excel file

    (Log into CR account > reports > members > members list > select active members > run report).

    Delete the firs row on the excel: if not it wont work when uploading it

    How to manage your CSV before you upload it?

  • If you upload 250 clients, then your goal on contact mapping day will be 250 clients into Fit Pro Tracker.

  • We are not mapping past clients due to the expiration date of most of their credit cards, which will have expired by now.

b.Fit Pro Tracker receives exit data files from your payment processor.

After you submit your excel file to our system, it needs to receive it and start validating the data throughout the payment processor we use, which means, we are not going to be handling any of your client's billing information so their data is still safe, since it goes directly to the validation process.

c. Fit Pro Tracker processes and migrates your data.

We will begin the process in the next several days to migrate your data over into our systems, it will show you not only when to start but also the date your data is ready to start migrating, that is it was successfully uploaded and validated.

The dates for you to start mapping the contacts already uploaded are going to be right there on your Checklist.

d.Map your existing paying clients

Once at this point, those contacts have been uploaded and you continue with your migration. So that, you are going properly mapped their data on FPT, there are two mapping stages, fist you will start mapping your client's data, and next, it comes to the billing mapping in which you match your clients with their current membership, you are going to choose the main one to bring their data to the systems.

  • Client enrollment mapping.

  • Membership enrollment mapping

The goal is to confirm or dismiss all the contacts on the left side and have the list from CR empty before moving to the next part of the migration.

This step is crucial for you to manage your contacts and the memberships, the system will offer you to confirm the data you are matching from the uploaded file to the FPT platform to lead it to the right membership You will go down the contact tab and click on each contact one by one. Once a contact is selected it will drop down with info on the left and right sides. Club Ready info from the exit file will be on the left side and Fit Pro Tracker mapping will be on the right side.

It is important to use the information from the Club Ready exit file to correctly map the contact into Fit Pro Tracker.

Also, getting ready in advance for your migration week will ensure you an organized way to start with us and approach the billing system on a smother and righteous procedure, If you misaddress the schedule for these steps to be done then it may cause significant delays or problems on your Migration.

e.Confirm your migration is complete.
