When you add a membership or a trial to your contact the system will enable the Billing profile. You'll see the billing profile shortcut button on top of the Contact profile:

Once you have activated the Billing profile you’ll see the tabs for the Subscriptions, Billing Activity Summary, Payment Methods and Subscription History:

Subscriptions

Here you'll see all the information for the subscription:

  • Created date

    • This is the date you assign the membership to the client

  • First Payment date

    • If the membership is non recurring (Single Payment - Paid in Full) it will be charged the same date you assign it to the client

    • If it is a recurring membership (weekly, monthly, quarterly, annually) the create date cannot be the same as the First Payment Date. That is why, if you schedule a membership to start for the same day, the system will automatically create the First Payment date as the next Installment date.

  • Next payment date

  • End date (If the membership is set up as auto-renew the end date won't show)

  • Payment method

    • In case there's a need to modify the CC linked to the membership you can modify it

  • You can also click on the Invoices Menu to see the Invoices Forecast.

Billing Activity Summary

In this tab, you'll find all the contact's transactions:

  • Contact Balance

  • Option to Add Invoice, Credit, Refund, Payment.

  • Billing View:

    • Option to Click on the Invoice and see the details

    • See the transaction status

  • Ledger View:

    • See all transactions in real-time

    • Raw transaction information

  • POS:

    • Invoice information

    • Invoice Refund

Payment methods

Here you can see all the CC the contact has on file and the information for the payment method:

  • Card Number

  • Create date

  • Expiration date (Remember that you should not have expired cards in the system, if a card is expired, you need to edit it for a future date in order to delete it)

  • You can Add another CC and select the one that will be Primary as well as Active

Subscription history

You’ll see all the contact subscription history and who was the staff member who edited the memberships last:
