How to Use the KPI Report in Fit Pro Tracker

The KPI (Key Performance Indicator) Report in Fit Pro Tracker is an essential tool for gym owners and managers, enabling them to track critical metrics that drive the gym's success. Accessing the KPI Center Configuration

1. Login to Fit Pro Tracker: Use your credentials to log into the Fit Pro Tracker system. You can access the KPI center by going to the Location tab and selecting "KPI Center" from the drop-down menu.


2. Ensure that your Staff Access has the toggle turned on for the KPI Center. (Select Staff from the left side menu):

  • Click the View button next to the staff member you would like to enable access to.

  • Click Access.

  • Scroll to the bottom of the permission page and turn on the toggle for KPI Center.

  • Click Update User Privilege.

Important: Only the location owner can enable KPI report permissions for staff members via the Staff menu.

Metrics Included in the KPI Report

  • Leads: Tracks the number of new leads generated each week.

  • Leads from HQ: Monitors the leads referred by headquarters on a weekly basis.

  • Trial Sales: Records the number of trial memberships sold each week.

  • Trials Ending: Indicates the number of trial memberships that end each week.

  • Total Members: Reflects the total count of members at the end of each week.

  • Members Frozen: Shows the number of memberships placed on hold or frozen each week.

  • POS Revenue: Tracks weekly revenue from point-of-sale transactions.

  • Gross Membership Revenue: Indicates the gross revenue generated from memberships each week. This includes all invoices due within the week and does not account for failed payments. Please refer to the Invoice report in Fit Pro Tracker to see the status of the invoices.

  • EFT/PMR: Tracks revenue from electronic funds transfers or payment methods related to memberships each week.

Generating the Report

Fit Pro Tracker automatically generates a weekly KPI report in Excel format, making it easy to review and share. This report is emailed to staff members who have been granted permission to access the KPI Center, ensuring relevant personnel are updated without manual intervention.

  1. Performance Tracking: Track weekly performance metrics such as leads, memberships, and revenue. This allows you to identify trends over time, assess areas for improvement, and set realistic growth targets.
