How to create, edit and send campaigns

Campaigns in Fit Pro Tracker give you the power to automate your outreach or keep it personal, depending on how you choose to build each campaign. Whether you're nurturing leads or staying connected with current members, campaigns can be customized to fit your communication goals.

🚀 Step 1: Creating a Campaign

  1. Navigate to the Campaigns Section
    On the left-hand menu of Fit Pro Tracker, click "Campaign", then select "Campaign Management".

  2. Build, or Import a Campaign

    • Click “Build New Campaign” button to create a Campaign from scratch.

    • Click "Import Campaign using Code" if you are to bring a pre-built or an existing campaign to your account using a code.

  3. Name your Campaign

    Give your campaign a clear name and description for easy tracking and organization.

  4. Choose a Campaign Category

    • General Category: All participants receive the same communication timeline.

    • Opt-in Category: Each participant starts the campaign based on their unique opt-in time.

  5. Start Building the Campaign
    Click the plus (+) sign under “Start Campaign” to begin adding actions to your custom campaign.

🔧 Step 2: Adding Campaign Actions

Each campaign can include a series of actions that occur over a set time period. Available actions include:

Another available action is Add/Remove Campaign.

This feature allows you to add or remove a campaign within an existing campaign flow. There are several ways you can use this functionality:

  • ➕ Create a side campaign that branches off from the main campaign based on specific triggers or behaviors.

  • 🔁 Automatically move a contact into a follow-up or drip campaign once they complete the initial campaign.

  • 🧩 Design custom campaign sequences that fit your unique lead nurturing or member engagement strategies.


For Each Action:

  • Assign a title (e.g., "Welcome Text", "Follow-Up Email").

  • Set the timing (e.g., send 2 days after campaign start).

  • Add your content (message text, email body, etc.).

  • Click Submit or Update to save your campaign.

Important: You can add as many actions as needed within a campaign.


⚠️ Troubleshooting Tips

  • If a red notification appears above an action box, it means that action has incomplete information (e.g., missing title, timing, or message content).

  • The system won’t allow you to submit the campaign until all required fields are filled in.

If you have all the information you need to continue with the next activity, you can submit the campaign.

If you need to eliminate an activity you can click on the delete option.

Once you have all the activities set up you can submit the campaign

🔍 Previewing a Campaign

To preview a campaign, click the “Preview” button located in the top-right corner of the Campaign Management screen.

This feature allows you to view the structure and flow of your campaign—including all scheduled actions like SMS, emails, tasks, and more. You can check the order of events, timing delays, and content for accuracy.

⚠️ Note: Preview mode is for review only. This is not where you set the actual send times or launch your campaign. Timing and automation settings must be configured within the individual campaign steps.


Cancel Campaign Rule

The Cancel Campaign Rule is a powerful automation tool that helps keep your communication relevant and prevents over-messaging.

When this rule is enabled:

  • The contact will be automatically removed from the campaign as soon as they reply to any SMS or email sent through the campaign.

  • You can further customize what happens after a contact replies by clicking “Configure”:

    • Tag the contact (e.g., “Engaged Lead”).

    • 🔁 Change contact status to “Prospect” or any other category.

    • 👤 Auto-assign the contact to a specific staff member for immediate follow-up.

⚠️ Note: The Campaign Options and configuration settings become available only after the campaign has been saved. Be sure to save your campaign first to access these features.

Sending Campaigns to Contacts — Individually or in Batches

You have the flexibility to send campaigns either one-to-one or to a batch of contacts at once, depending on your needs.


Sending a Campaign to Multiple Contacts (Batch)

  1. Select the contacts you want to target from your contact list.

  2. Click the “Batch” button on the right side of your screen.

  3. Choose the “Campaign” from the options.

  4. Pick the campaign you want to send.

  5. Decide whether to send immediately or schedule the campaign for a specific date and time.


Sending a Campaign to a Single Contact (One-to-One)

  1. Open the individual contact’s profile.

  2. Navigate to the “Communications” tab.

  3. Click on “Campaigns”, then select “Add to Campaign”.

  4. Choose the campaign you want to send to this contact.

  5. Send it right away or schedule it for later.


Campaign Dashboard


You can access all your campaign details in one convenient location by navigating to the Campaign menu and selecting the Campaign Dashboard option.

When you open the Campaign Dashboard, you’ll see an overview of each campaign’s status, including:

  • The number of active contacts currently in the campaign

  • A summary of campaign performance

  • Filters to sort campaigns by keyword, contacts, or date range

  • The name of the person who created the campaign

  • The current status of each campaign

Additional Campaign information:

If you want to view the number of contacts added in a campaign, check the status of each action for a specific contact (such as messages completed, scheduled, failed, or not scheduled yet), and access additional options like rescheduling the campaign, adding or removing contacts from the scheduled campaign, or canceling the campaign, simply click on the campaign from the list. This will open a detailed screen displaying all relevant information.


⚠️ Important: You can only reschedule, add or remove contacts, or cancel the campaign if it is a scheduled campaign.
