There are several ways to add a Contact to your system. Each contact is unique to your database location. This means that a contact could be in several locations, but all data collected per your location will remain in that contact’s profile and not other locations.

Here are the ways to Add an individual Contact:

How to know where to place a contact into your system.

The system has been designed to replicate the lifecycle of a typical person (contact) at your fitness facility. You will perform some form of marketing to get people to know about your business. This can include Facebook, Google, business cards, word of mouth, and walk-ins.

The system takes those that have heard of your facility as Leads. The Leads group is more of some cold traffic becoming warm, just inquiring about your business. Prospects group are contacts that have taken a step closer to coming into your door as a direct membership or a trial/promotion. Trials group is somebody that has physically started some type of trial program. Members group is just that, they are paying members to keep your business alive. Past members group are anybody that has been a trial or member at your facility.

Now that we have an understanding of the Contact Groups (Leads, Prospects, Trials, Members, and Past Members), now we can start to put new and existing contacts into your system.

1. Manual Entry per Contact Group

Depending on which Contact Group you add a new contact to, they each will ask a certain amount of information to get started in the database. The leads group does not need as much as the Trials or Members group.

Leads Contact Group

a. Using the left menu, locate the section Contact Groups and Click the Leads menu.

b. Next, on the right-hand side of your screen, you will click the "Add Contact" button.

c. In this screen you will fill in the form fields to add a contact.

Email: You must enter at least an email to enter a record into your database.
First Name: First name of the contact.
Last Name: Last name of the contact.
Phone: Preferably a mobile number for the contact. Try to get a mobile number to be able to use the platform for texting SMS messages to your contacts.
Lead Generator: Source of where or how this contact came to your facility. (Ex. Walk-in, Phone, Email, etc)

* If the default Lead Generator options do not satisfy your requirement, you can then add additional options in the Locations \ Labels area.


Prospects Contact Group

a. Using the left menu, locate the section Contact Groups and Click the Prospects menu.


b. Next, on the right-hand side of your screen, you will Click the "Add Contact" button.

c. In this screen you will fill in the form fields to add a contact.

Email: You must enter at least an email to enter a record into your database.
First Name: First name of the contact.
Last Name: Last name of the contact.
Phone: Preferably a mobile number for the contact. Try to get a mobile number to be able to use the platform for texting SMS messages to your contacts.
Lead Generator: Source of where or how this contact came to your facility. (Ex. Walk-in, Phone, Email, etc)

* If the default Lead Generator options do not satisfy your requirement, you can then add additional options in the Locations \ Labels area.


Trials Contact Group

a. Using the left menu, locate the section Contact Groups and Click the Trials menu.

b. Next, on the right-hand side of your screen, you will click the "Add Contact" button.


c. In this screen you will fill in the form fields to add a contact.

Email: You must enter at least an email to enter a record into your database.
First Name: First name of the contact.
Last Name: Last name of the contact.
Phone: Preferably a mobile number for the contact. Try to get a mobile number to be able to use the platform for texting SMS messages to your contacts.
Lead Generator: Source of where or how this contact came to your facility. (Ex. Walk-in, Phone, Email, etc)
Trial Type: Select the type of trial or promotion this contact is being assigned to.
 (You will need to set up your Trial Options in the Locations \ Labels area)
Begin Date: Set the date of when the contact will be physically starting at your facility.
End Date: The end of the trial, will auto-populate from the Trial option that was set up, but you can change it.
Total Duration: Will auto-populate depending on begin and end dates.
Cost: The dollar amount of your trial.

* If the default Lead Generator options do not satisfy your requirement, you can then add additional options in the Locations \ Labels area.

Members Contact Group

a. Using the left menu, locate the section Contact Groups and Click the Members menu.

b. Next, on the right-hand side of your screen, you will click the "Add Contact" button.

c. In this screen you will fill in the form fields to add a contact.

Email: You must enter at least an email to enter a record into your database.
First Name: First name of the contact.
Last Name: Last name of the contact.
Phone: Preferably a mobile number for the contact. Try to get a mobile number to be able to use the platform for texting SMS messages to your contacts.
Lead Generator: Source of where or how this contact came to your facility. (Ex. Walk-in, Phone, Email, etc)
Membership Type: Select the type of membership this contact is being assigned to.
 (You will need to set up your Membership Options in the Locations \ Labels area)
Begin Date: Set the date of when the contact's membership starts.

* If the default Lead Generator options do not satisfy your requirement, you can then add additional options in the Locations \ Labels area.
