The Retail Reports section provides detailed insights into sales, invoices, inventory, and customer activity within the POS (Point of Sale) system. These reports help track transactions, monitor inventory, and analyze retail performance.
You can access the following reports under the Retail tab:
1. Product Sale Report
The Product Sale Report displays detailed information about individual product sales. It helps monitor what products were sold, discounts applied, and the profit generated within a specific time period. You can filter the report by date using the calendar filter at the top of the screen. This report provides essential information such as:
Invoice Number – Click on the invoice number to see the detailed breakdown of the sale.
Date - When the purchase is made
Customer – Name of the customer associated with the purchase.
Category and Product Name – The product category and specific name of the sold item.
Retail Price – The price at which the product was sold.
Discount - The discount applied to the product.
Quantity Purchased – The number of items purchased.
Total Due – The total amount due, including taxes and discounts if applicable.
Tax Percentage and Amount – The tax applied to the sale.
Total Sale – The total amount paid by the customer.
Wholesale Cost - The Wholesale price of the product
Profit Percentage – The profit earned from the sale.
Refund Status – Indicates if any refunds have been processed for the transaction.
This report is useful for analyzing which products are selling well and understanding the profit margins.
2. Invoice Report
The Invoice Report provides both a summary view and a detailed breakdown of invoices processed within a selected date range.
Summary Information:
Total Sales – The total sales amount during the specified period.
Total Tax Amount – The cumulative tax collected on all sales.
Sales by Payment Type – A breakdown of sales by payment methods, including cash and credit cards.
Profit – The total profit earned during the selected period.
Detailed Information:
Invoice Number – Click to view the full invoice details.
Customer Name – The customer associated with the transaction.
Amount Paid – The total paid for the invoice.
Refunded Amount – If applicable, the amount refunded from the sale.
Payment Method – The method used to complete the payment (e.g., card, cash).
User – The staff member who processed the transaction.
Notes – Any additional notes related to the transaction.
This report is essential for tracking all invoices, payments, and profit calculations.
3. Inventory Report
The Inventory Report provides an overview of product stock levels. It helps monitor inventory to ensure products are sufficiently stocked and identifies when items need restocking.
Available Information typically includes:
Product SKU – A unique identifier for each product.
Product Name – The name of the item in inventory.
Inventory on Hand – The current number of units available in stock.
When to Reorder – Indicates when a product needs to be reordered.
Wholesale and Retail Cost – The cost to the business for acquiring the item (wholesale) and the price at which it's sold (retail).
Reorder Information – Includes the reorder quantity and estimated reorder date.
Reorder User – The user responsible for placing the reorder.
This report is helpful for effective inventory management and avoiding stock shortages.
Download/Upload Inventory
The Download/Upload Inventory option allows you to manage and update your retail product inventory efficiently.
Download Inventory Report
Select Download → Product Inventory to generate a file of your active products.
Only products that are currently active will appear in the report.
Review & Edit Inventory
You can make any necessary changes directly in the downloaded file (e.g., adjusting product quantities, prices, or reorder levels).
Upload Inventory Updates
After editing, use the Upload Products button to re-upload the file.
The system will override your existing inventory with the updated information from the file.
Quantity Limits
The maximum quantity per product that can be entered is 1000.
4. Items on Cart Report
The Items on Cart report provides a detailed view of:
Clients who have items saved in their cart.
Attempts were made to process those items.
Any payment errors encountered.
Available Information may include:
Member - Name of the client who added items to the cart.
Date Added - The date and time the most recent item was added to the cart.
Product Name - Total dollar value of the items in the cart.
Quantity - The masked card or ACH used for the attempt (e.g., Visa ending in 1111).
Amount - The price of the items added to the cart
Details - If the payment failed, this column will display the error that was thrown.
This report is useful for tracking pending sales and identifying customer purchase intentions.
Filtering by Date
Each report allows you to filter results by a specific date range.
To filter a report:
Click the calendar icon located at the top of the report.
Select the desired start and end dates.
Click the Apply button to refresh the report with data from the selected range.
Export Option
All reports in the Retail section can be exported to Excel for record-keeping, further analysis, or reporting purposes.
