How to Send a Batch SMS

Batch SMS allows you to send a text message to multiple contacts at the same time. This is especially useful for sending updates, promotions, or notifications to a large audience.

✅ Prerequisites

Before using the Batch SMS feature, please ensure:

  • You have the necessary permissions to send batch messages.

  • Your contacts have opted in to receive SMS communication.

👥 Selecting Contacts

You can send a batch text to:

  • All Contacts

  • Any contacts from a specific contact Group.

To target specific people:

  1. Use the Filters button to segment your list based on criteria you choose.

  2. Select contacts using the checkboxes on the left side of the contact list.

  3. Once contacts are selected, click the Batch button on the left side menu.

  4. If you have permission, you will see the Batch SMS option enabled.

✍️ Using Text Templates

  • You can add or select SMS templates for consistent messaging across batches.

  • Templates are especially useful when you're sending the same content frequently. They help save time while ensuring your messages remain clear, professional, and on-brand.

Create Batch (SMS Message Screen)

This screen allows you to create and send a new SMS batch message to your selected contacts. It is designed to help you quickly compose, review, and send messages while ensuring compliance with messaging guidelines.

Overview

At the top of the screen, you’ll see a summary of the batch, including:

  • Batch name/ID

  • Number of contacts included

  • Eligible recipients

  • Audience type (e.g., prospects or members)

  • Status indicator (e.g., New)

SMS Message Composer

The main section is the message editor, where you can build your SMS:

  • From field – Displays the sender name and phone number that recipients will see

  • Message input box – Area to type your SMS content

  • Toolbar options – Tools to enhance your message, such as:

    • Adding files or attachments

    • Inserting personalization fields

    • Using emojis

    • Formatting or inserting saved content

Message Settings & Indicators

Below the message box, you’ll find helpful indicators:

  • Character counter – Shows how many characters are used and remaining

  • Encoding type (e.g., GSM 7-bit) – Indicates message format and character limits

  • Credits – Displays how many message credits will be used

Send Options

  • Send button – Sends the message immediately

  • Schedule option (clock icon) – Allows you to schedule the message for later delivery

Compliance Notice

A reminder is displayed at the bottom to help ensure compliance with messaging regulations (such as carrier guidelines). It encourages:

  • Sending messages in smaller batches

  • Personalizing content

  • Avoiding repetitive or excessive messaging

IMPORTANT NOTE:

☎️ Choosing the Sender Number

As an Owner, you have the ability to choose which phone number to send the SMS from:

  • The location’s main number, or

  • An additional number, such as a staff member’s number.

This is especially helpful if a team member is unavailable (e.g., on vacation), and someone else needs to send or manage responses on their behalf.

⚠️ Important Notification About Large Batches

Each time you attempt to send a Batch SMS, a warning message will appear if your selected contact list is large.

This message is designed to remind you that it is not advisable to send messages to a large number of contacts if those messages require individual responses or acknowledgments.

The notification also includes helpful recommendations to:

  • Stay compliant with phone carrier policies

  • Avoid potential account suspension

  • Ensure uninterrupted message delivery

Acknowledgment Required:
To proceed with sending the batch SMS, you must check the acknowledgment box in the notification. This confirms that you’ve read and understood the potential risks and best practices for sending to large groups.

⚠️ Disclaimer

Phone carriers may flag or block your number if they detect that the same type of message is being sent to large groups, as it could be interpreted as spam or a potential threat.

To reduce this risk, we highly recommend warming up any new phone number before sending large batches. You can do this by:

  • Sending messages in smaller batches of 250–500 contacts

  • Encouraging recipients to respond to your messages, which signals to carriers that your messages are wanted and legitimate

Taking these steps helps establish trust with carriers and ensures your SMS campaigns remain effective and compliant.
